1. Who this policy covers

Clini Vet operates a veterinary practice management platform for clinics and their staff. For account, support, security, and service analytics data, Clini Vet decides how and why that information is processed. For customer, pet, and clinical information entered by a clinic, the clinic normally decides the purpose of processing and Clini Vet processes the information on the clinic's instructions. This policy applies to our websites, platform, public queue and tracking pages, and support channels.

2. Data we collect

We may collect staff account details such as name, phone number, email address, role, clinic, branch, language, and authentication records. Clinics may enter customer contact details, pet identification and care records, appointments, visits, prescriptions, diagnostic results, vaccination information, notes, and attachments. The platform also stores clinic operations, inventory, supplier, invoice, payment, refund, and support records. We collect technical and security information such as IP address, browser and device details, timestamps, request identifiers, audit events, and limited named product analytics events. We receive this information directly from staff and people using public pages, indirectly from clinics and account administrators, and automatically from browsers, devices, and service infrastructure.

3. How we use data

We use personal data to provide and administer the platform, authenticate users, route clinic work, maintain care and business records, create invoices and reports, provide support, communicate service messages, protect accounts, investigate misuse, prevent fraud, troubleshoot errors, monitor reliability, improve features, and meet legal or regulatory obligations. We do not use clinic customer or clinical records to build advertising profiles.

5. When data is shared

Information is available to authorized users of the relevant clinic according to their role and branch access. Clinics can create a prescription link and choose whom to send it to. Anyone with a valid link can view the customer's name, pet summary, prescribed treatments and instructions, treating staff member, follow-up details, and clinic contact details until the link expires after seven days, is revoked, or is replaced. The link does not include symptoms, diagnoses, or internal clinical notes. We may share limited data with service providers that support hosting, storage, email or messaging, analytics, error monitoring, security, and customer support. These providers may process data only for the services they provide to us and under appropriate contractual duties. We may also disclose data when required by law, to protect rights or safety, to investigate abuse, or as part of a business transaction with suitable confidentiality protections. We do not sell personal data.

6. International data transfers

Some infrastructure or service providers may process data outside Egypt. When personal data is transferred across borders, we use contractual, technical, and organizational safeguards intended to provide protection consistent with applicable data protection law and any required approvals. Contact us if you need more information about the safeguards used for a particular transfer.

7. How long data is kept

Audit logs are retained indefinitely in the current version to preserve a complete, tamper-evident history. Retention for other records depends on the type of record, the clinic's instructions, account status, legal and accounting requirements, security needs, dispute periods, and backup schedules. Requests to delete or anonymize data are assessed under applicable law, clinic instructions, and system-integrity requirements.

8. How we protect data

We use technical and organizational controls designed to protect personal data, including access controls, role and branch restrictions, authentication safeguards, encrypted connections, tenant separation, logging, monitoring, backups, and incident response procedures. No online service can guarantee absolute security. Users should protect their credentials, use authorized devices, and notify us promptly if they suspect unauthorized access.

9. Your privacy rights

Subject to applicable law, you may have rights to ask whether your data is processed, access it, correct or update it, request deletion, limit or object to certain processing, withdraw consent, and complain to the Egyptian Personal Data Protection Center or another competent authority. Some rights may be limited where retention or processing is required by law or necessary to protect others. If your information was entered by a clinic as part of its customer or care records, contact that clinic first. You may also email us, and we will assist the clinic where appropriate.

10. Cookies and similar technologies

Clini Vet uses essential cookies and similar storage to keep users signed in, maintain session security, remember language and interface preferences, and support core functionality. When analytics is enabled, limited technologies may record named product events so we can understand feature use. Automatic click capture, advertising tracking, and session recording are not enabled in the current analytics configuration. Browser settings can control some storage, but blocking essential cookies may prevent sign in or other platform functions.

11. Children's privacy

Clini Vet is a business service for clinics and is not directed to children. We do not knowingly create platform staff accounts for children. A clinic should enter information about a minor only when it has a lawful reason and appropriate authority to do so. If you believe a child has provided personal data directly to Clini Vet without proper authorization, contact us so we can review it.

12. Changes to this policy

We review this policy as our services and legal obligations change. The latest version will remain available on this page with its last updated date. If a change materially affects how personal data is used, we will provide an appropriate notice through the platform, by email, or through another suitable channel before the change takes effect when required.
